Medical Services Coordinator – position eliminated

Official “Duties and Responsibilities” include:

·         Provided administrative support for special project/quality improvement plans to include research, marketing, compiling data, analyzing data, preparing summary reports and keeping records. 

·         Acts as a liaison between providers, co-workers, patients, media, public relations firms and off-site executives/administration.

·         Maintain current providers licensure files and provide information to hospitals and other healthcare providers as appropriate. Assist new providers in obtaining credientialling with area hospitals.

·         Assisted the Practice Administrator with the physician monthly on-call schedules, developing marketing tools and databases for physician referral information. 

Areas of responsibiltiy, I actually did in addition to the above:

·          Medical Front Office:

·          Greeting patients/family members and checking them in for their appointments, or assisting as needed.

·          Collecting co-pays and outstanding balances, reconciling daily collections, creating deposits, dropping off deposits 

·          Scheduling appointments using our PMS - Misys Tiger and our EMR - iKnowMed

·          Answering multi-line phone, and directing calls to appropriate extensions in a professional manner

·         Point of contact for outside referring physican offices to schedule new patient appointments

·          Following up with patients for upcoming New Patient appointments, or No-Show appointments

·          Closing the front desk

·         Worked with our Referral Coordinator, learned and did verification of insurance and how to obtain prior authorizations, if required by the patients insurance provider; schedule procedures ordered by the providers with outside medical facilities, ie: Duke Hosptial, Durham Regional Hospital, UNC Hospital, Alamance Regional Medical Center, Triangle Orthopedics, Triangle Heart, Wake Radiology, etc and various specialists offices for various consultations.

o    Followed up with patients to provide them their procedure appointments, any prep required, and schedule their return to clinic appointment appropriately, as well as possibly reschedule if day or time was not convenient for the patient.

·          Working towards a supervisory/managerial position and was given the responsibilty of maintaining the staffing schedules of all Schedulers (4) to ensure coverage of all areas, to include 2 offsite locations, at all times and ordering supplies needed for the front desk.

·          Audited Tiger and our EMR for scheduling errors, maintaining the physicians templates and schedules, rescheduling and shifting patient appointments as needed, working with physicians and nurses to create/maintatin the most efficient appointment/treatment schedules.

·         Medical Back Office :

·         Worked with our Patient Finance Counselor and Charge Entry Specialist to be their back-up, for when they need assistance or were out of the office, to keep a constent flow of patient care support.

o    Learned to process insurance verifications, work with RealMed, review charges to explain outstanding balances, assist with patient assistance forms, amd learned to key daily charges in the PMS.

·         Triage phoneline: when nursing staff was short handed, I would answer calls from patients, family members, pharmacies, etc., took notes, sent chart messages or noted phone messages in our EMR, consulted with nursing staff on all clinical requests.

·         With my technical background, I became the “SuperUser” in the office, and I would train/re-train staff on our PMS – Misys Tiger and our EMR – iKnowMed.  Provided in-services as needed.  Processed requests/needs of the providers and staff with regards to administrative/maintenance tasks needed in either system; merging, removing, updating, modifying schedules, general maintenance, etc.

·         Local IT technical support for computer, printer and copier problems.  Worked in conjustion with our NC Help Desk team in Raleigh.

·         Human Resources /Staffing

Maintained employee records locally. Worked with our practice management team and State Business Office – HR Coordinator, to fill vacant positions, review resumes, screen candidates, assist with interviews and processed all required new hire paperwork. Conducted New Employee Training.  Ordered all business cards.

·         Practice Privacy, HIPAA, Compiance and Security Liason to USOncology.  Responsible for the annual practice self compliance audit. Handled any issues as they came up and reports as needed.

·         Facilitated, coordinated and reported on our practices CQI (Continuous Quality Improvement) teams monthly meeting.  Took part in a 3-day PQE (Practice Quality Efficiency) Blue Belt training program to better implement process improvement changes in the office and start with a plan.

Duties include, but are not limited to: posting all requisitions, sourcing and tracking candidates, interviewing and pre-screening candidates, scheduling technical and in-person interviews with internal Northrop AM staff and Subject Matter Experts, working with applicants on and processing all security paperwork, negotiating rates on sub-contractors with vendors, extending offers (as needed), conversion of personnel from contract-to-direct hire, working with applicants on all new hire processes and paperwork up to their start date.  On an employees first day of employment, I conducted New Employee Orientation along with a Timekeeping Administrative Assistant. ·         Front Desk Receptionist (04/2003 – 10/2008) – position eliminated

My day-to-day responsibilities include, but not limited to: customer service, greeting all visitors and guests, delivery personnel, etc. that do not have access into our secure facility and granting them temporary access and handling all issues, as needed. Responsible for all incoming telephone calls, photo coping, mail handling, filing, and associated general administrative duties..

·         Facility Operations Coordinator   (01/2003 – 10/2008) – position eliminated

Assisted with the remodeling of 17,000 sq ft facility that would become our new “home”.  Worked with the building Property Management team, vendors and contractors on the job with regards to the facility layout, carpeting, tile, paint, cabinets, furniture, security system, etc.  After this project was completed, I continued to be the facility security point-of-contact and maintaining the security logs and monitors.

·         Executive Assistant (09/2002 – 10/2008) – position eliminated
